1. Scope
This Privacy Policy describes how Nexunity, LLC, operating Third Chair Legal (“Third Chair,” “we,” “us,” or “our”), collects, uses, discloses, and protects information in connection with Third Chair Legal websites, applications, services, and supported integrations.
Third Chair Legal is primarily a business-to-business software-as-a-service platform for law firms and other authorized organizations. Our law-firm customers generally determine the purposes and means for which information about their clients, matters, personnel, and operations is processed. In those circumstances, Third Chair Legal processes that information to provide the service according to customer instructions, applicable agreements, and law.
2. Information We Collect
Account and User Information
We may collect names, email addresses, phone numbers, titles, organizations, roles and permissions, authentication and account information, and account activity.
Customer and Case Information
Customers may enter information concerning legal clients, cases, contacts, opposing parties, medical providers, witnesses, insurers, attorneys, vendors, and other case participants. This may include notes, dates, deadlines, documents, financial information, and medical-related case information when entered by the customer.
Documents and Communications
We may process documents, attachments, correspondence, message history, templates, call notes, notices, and related metadata that authorized users upload, create, or connect to the service.
Financial and Accounting Information
We may process case costs, budgets, settlement information, trust-related information, fees, compensation information, payment and transaction references, and accounting data supplied by customers or authorized integrations.
Usage and Technical Information
We may collect device, browser, IP address, session, event, diagnostic, security, and usage information needed to operate, protect, understand, and improve the service.
3. QuickBooks Online Information
Third Chair Legal may connect to QuickBooks Online when an authorized customer enables the integration. After authorization, Third Chair Legal may access and process information necessary to provide the integration.
Depending on enabled functionality, this may include QuickBooks company information, customers, vendors, chart of accounts, classes or other accounting dimensions, expenses, bills, checks, case-related costs, transaction identifiers, balances, and other accounting information required by enabled features. Third Chair Legal may create or update supported QuickBooks records when authorized functionality requires it.
We do not sell QuickBooks data. We do not use QuickBooks data for third-party advertising.
QuickBooks OAuth credentials and access tokens are handled server-side and are not intentionally exposed to ordinary browser users. Customers may revoke authorization through supported Third Chair controls or through Intuit or QuickBooks.
Disconnecting QuickBooks stops future synchronization. Previously synchronized information may remain according to customer settings, contractual requirements, backup cycles, retention requirements, and applicable law.
4. How We Use Information
We use information to operate and provide the service; authenticate users; manage organizations, memberships, permissions, and subscriptions; support case management, documents, communications, workflows, calendar, finance, reporting, and integrations; respond to support requests; protect security; prevent fraud and abuse; diagnose problems; maintain appropriate audit records; improve features and performance; and comply with legal obligations.
5. Artificial Intelligence Features
Authorized Customer Data may be processed when a customer affirmatively uses AI-enabled functionality. Depending on the feature, this may support summaries, drafting, chronologies, extraction, and task suggestions. Access to source information remains governed by organization and user authorization. Users should review AI-generated output before relying on or using it.
7. Data Security
Our approach may include authenticated access, role-based permissions, organization-level separation, encrypted network transport, protected sensitive credentials, access controls, logging and monitoring, and security-oriented development practices. No system can guarantee absolute security, and customers are responsible for appropriately managing their users, devices, credentials, and access configuration.
8. Data Retention
We retain information for periods reasonably necessary to provide and support the service, meet legal and contractual requirements, maintain security and business records, support customer needs, and complete applicable backup cycles. Retention periods vary by information type, customer instructions, account status, and legal obligations.
9. Account Closure and Data Deletion
Authorized customers may request account closure or deletion through our Contact page. Requests are subject to applicable legal, contractual, security, backup, and retention requirements. Certain information may be retained where necessary to establish, exercise, or defend legal claims or comply with law.
11. Payment Information
Payment-card information may be handled by an external payment processor. When processor-hosted payment methods are used, Third Chair Legal does not need to store complete card numbers. Payment processors handle information under their own terms and privacy policies.
12. International Processing
Information may be processed in jurisdictions other than the one where it was collected. Where required, we use appropriate safeguards for cross-border processing and expect service providers to protect information consistently with their obligations.
13. Children's Privacy
Third Chair Legal is intended for business and professional users and is not directed toward children under 13. Customer case data may contain information about minors when that information is lawfully maintained by a law firm in connection with representation or firm operations.
14. Privacy Rights
Depending on jurisdiction, individuals may have rights to access, correct, delete, restrict, object to, or receive a copy of certain personal information. Requests concerning information controlled by a law firm may need to be directed to that firm. We may verify identity and authority before acting on a request.
15. Third-Party Services
The service may connect to third-party products such as Intuit QuickBooks Online. Those services are independently operated and their handling of information is governed by their own terms and privacy policies. Customers should review those policies before enabling an integration.
16. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in the service, law, or our practices. We will post the revised policy with an updated effective date and provide additional notice when required.
